Booking conditions

(Boring, maybe, but essential as they form your contract with us. Please do read them thoroughly)

Telephone Bookings
A non-refundable deposit of £25 per person is required to confirm each booking. We cannot guarantee to hold a room if no deposit has been paid. Please call us with your debit or credit card details (please do not send any card details via email). For longer stays, and house party bookings, the amount of non-refundable deposit required may vary.

Online Bookings
For online bookings, a non-refundable deposit equivalent to your first night's stay is required. Our online booking system provider stores your debit/credit card details on a secure server. Before your reservation can be accepted, you will need to confirm that you have read, and agree to, the booking conditions. You will receive an automated acknowledgement via the online booking system, and we will follow this up with a personal email once we have processed your deposit payment.

Balance Payment
The balance of your stay is payable when you check out. We accept most credit/debit cards (debit cards are preferable; we may make an extra charge if you pay the balance of your stay by credit card). You may also pay the balance of your stay in cash.

Cancellations
Where reservations are cancelled, guests’ deposits are non-refundable and if we are unable to re-let the room(s), it may be necessary to charge up to the total cost of the booking. If you cancel within 1 week of arrival, do not arrive on the date booked, curtail your stay partway through, or do not take all the services booked, you remain liable for the full cost.
You are advised to consider taking out a travel insurance policy to cover these eventualities. One company providing such policies can be found here. Please note that this does not constitute a recommendation; for advice about insurance you should consult an organisation registered with the Financial Services Authority.

Non-availability of accommodation
In the unlikely event that, for reasons beyond our control, your accommodation should be unavailable, we would attempt to find a suitable alternative. If this were not possible, or not acceptable to you, then we would refund any money you had paid us. Our liability would not extend beyond this refund.

Arrival and departure
Please let us know a day or so beforehand approximately what time you'll be arriving. Check-in times are normally between 3 and 5pm but, as long as you discuss it with us so we know when to expect you, it's generally OK to arrive earlier or later. If you've booked dinner with us and are arriving after 5pm on the first evening, we'll ask you to make your meal choices in advance. On the day you leave, we'd be grateful if you could vacate the room by 10am. The balance of your bill (including any additional services you have used during your stay) will be payable when you check out. We prefer balance payments to be made by debit card.

Damage, losses and breakages
If you should happen to break, damage or lose any of our property, please let us know as soon as possible. We do not usually charge for minor breakages, however if there is significant damage we may invoice you for any repairs, making good or replacements. We also reserve the right to make an additional charge of £25 if you did not report this damage to us. If you lose one of our keys we will charge you for a replacement, as well as additional costs if it is necessary to carry out any work (such as changing locks) as a result.

Wine, beer, spirits etc
Exmoor House is licensed to serve alcohol to resident guests, and to non-residents who are having a full meal with us. We have a good selection of drinks including wines, local beers and Somerset ciders, as well as spirits, fortified wines and liqueurs. Guests are asked not to consume alcohol on the premises that they have bought elsewhere. Corkage fee is £10 per bottle.

Supervision of children
Children must be supervised by a responsible adult at all times, particularly in the guest sitting room. At mealtimes, they are expected to remain seated (we'll be carrying hot dishes around!). For children too young to sit through a 'grown up dinner' we can provide high tea, served earlier. No games consoles in the dining room, please, and if they're used in the guest sitting room the sound should be turned off. If you're using a baby monitor in the sitting room or dining room, please turn the sound off and have only the visual display.

Liability
We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves.

Privacy policy
We will never pass any of your details on to anybody else, unless required to do so by law. However, with your permission, we may contact you from time to time with news, special offers, etc. NB: if you make a booking via a third party, their privacy policy may be different and you may be asked whether they can pass your details on to other organisations for marketing purposes.
